Holiday Swag Deadlines 2026: Your Order-By Calendar Before the Elves Clock Out
Every year, somewhere around December 10, an HR manager opens a spreadsheet called “Holiday Gifts FINAL v3,” realizes nobody placed the order, and quietly considers a new career in goat farming. If that sounds familiar, keep reading. We built a simple calendar of holiday swag deadlines so your team gets its gifts before the out-of-office replies start piling up.
The short version? Your calendar runs backwards from the day your people log off, and that day arrives earlier than Christmas. Most teams check out around December 18, so treat that week as your real finish line.

Why Holiday Swag Deadlines Sneak Up on Everyone
Three things squeeze the schedule every year. First, Thanksgiving lands on November 26 this year, and Black Friday plus Cyber Monday flood every carrier right after. Second, decorators and blank suppliers hit peak season at the same time, so popular colors and sizes from brands like Patagonia, Carhartt or Champion can sell out. Third, approvals take longer than anyone admits; a single mockup can bounce between marketing and finance for a week.
Carriers add their own cutoffs to the mix. For 2026, USPS recommends shipping Ground Advantage by December 17 and Priority Mail by December 18 for delivery before Christmas, while FedEx lists December 22 for 2Day. Those dates tell you when a box must leave the warehouse. Production has to wrap up well before that.
Your 2026 Holiday Swag Order-By Calendar
Our 2026 catalog sorts the season the way Santa would, with a Nice list and a Naughty list. The earlier you land on the calendar, the more options stay on the table. Here’s how it plays out.
November 1: The Nice List (Everything Is Still on the Menu)
Order by November 1, and every door stays open. That includes custom sourcing abroad, where we produce overseas and ship by boat to bring the cost per unit way down, plus cut and sew pieces with custom PMS colors, woven labels or 3D embroidery. It’s also the safest date for teams spread across countries. Our international delivery network produces locally in places like Europe, the UK, Canada, Mexico, India and Australia, which skips the border drama, but an early start still pays off. After November 1, custom sourcing abroad drops off the list for this season.
November 15: Still Nice, Slightly Sweaty
Mid-November still works for premium retail brands like Patagonia, Vuori, Rhone or Nomatic, although popular sizes and colors start to vanish (we compared two favorites in Patagonia vs. The North Face). It’s also your target for custom swag kits, which take about three to four weeks from choosing products to the box landing on someone’s doorstep. Packaging ranges from a simple polymailer to a premium gift box, so the unboxing can match the budget. Bulk orders of screen-printed tees, embroidered beanies and branded drinkware fit here too. While you’re at it, add personalized gifting notes so every kit arrives with a message that looks like your CEO wrote it. Short on ideas? The catalog’s best sellers (custom windbreakers, hoodies, hats and plushie keychains) make a great starting point, and so does our roundup of holiday gift ideas.
December 1: Last Call for Pop-Up Shops and Retail Brands
Can’t decide between a hoodie and a tumbler? Let your people choose. A holiday pop-up shop (our gift redemption page) lets each recipient pick a gift, choose a size and enter their own address, so you never chase anyone for shipping details. Setup takes about a week, and recipients need a few days to decide, so December 1 is the absolute last call. Earlier feels a lot calmer. Teams with a stocked swag shop move faster, because our swag fulfillment warehouses ship from inventory within 48 hours. Not sure which shop fits your team? Our swag shop showdown breaks it down.

December 2 to 11: The Rush Zone
Missed the dates above? Breathe. Our rush orders team replies in under 30 minutes, and orders placed by 1 PM can potentially ship the very next day. We also keep a lineup of products with 48 to 72 hour delivery. The catch: you’ll pick from a tighter menu, and expedited shipping costs more than ground.
After December 17: Plan B (and Plan C)
Once the ground shipping cutoffs pass, you still have options. Send a “your gift is on its way” card and ship in early January, when carriers calm down and your box stands out in a quieter week. Or rebrand the whole thing as a New Year kickoff gift. Nobody has ever complained about a January hoodie.
Five Habits That Keep You Ahead of the Holiday Rush
- Collect addresses and sizes early. A quick form in October saves you from chasing 200 people in December.
- Name one approver. Committees slow mockups down; a single decision-maker speeds them up.
- Keep a backup product. Pick a second color or style in case your first choice sells out.
- Consider On Demand. With On Demand Bulk (100 to 1,000 units), you skip long-term inventory and still get volume pricing.
- Write next year’s date down today. Put “order holiday swag” on your calendar for September 2027. Future you will send a thank-you note.
